Policies & General Info

 

DISCOUNTS

Sibling Discount:  If more than one child in a family attends Albany YMCA programs during the same week, the first child pays the full fee and subsequent children receive a 10% discount for that same week. The discount is applied to the lowest weekly fee(s).  Maximum sibling discount for any child is 10%.

REFUNDS

Deposits for camp ($25 per week) are not refundable, but may be transferred to another week, session, or a different program with a minimum two-week notice. There is a $10 per week processing fee for each change, after two changes. There is no processing fee for changes initiated by the Albany YMCA. Program fees less deposit and membership are only refundable with a minimum two-week withdrawal notice. Membership is not refundable.

BILLING INFORMATION

You will receive a statement for the program fees owed less the deposit and fees you paid when you registered.  Billing statements are sent monthly for camps occurring within that month.  Payment is due upon receipt of the statement.  Your child will not be admitted to the program if your payment is not made 10 days preceding the program.  If your payment is not made 10 days prior and there is a waiting list for the program, your spot will be given to someone on the waiting list.  Please call the office at 525-1130 if you have any questions.

CAMP CANCELLATION

We require a minimum enrollment for programs to operate. Programs may be canceled if this minimum is not met. In such cases, you will be notified by email with a follow-up phone call at least one week in advance.   In the unlikely event that your program is canceled, we will make every effort to transfer your child to another camp appropriate for their age. If you decide not to enroll in any other Albany YMCA program, all fees, including membership and deposit, will be refunded.

SPECIAL NEEDS

If your child has any special needs, please inform the Program Director at the time of registration. If the YMCA cannot serve your child due to a lack of expertise or resources, we will try to recommend an alternate summer program.

 

DROP OFF/PICK UP

Campers must be signed in and out each day.  Parents/guardians of children who do not appear on the roster, or who have a balance due, will be asked to resolve the registration issue before attending camp.  For your child’s protection, we will release children only to those persons who are listed on the medical form, or who have been authorized by parents in writing.  In addition, we will require identification from anyone with whom the staff is unfamiliar.  Anyone picking up children (including parents) should be prepared to show identification.   Parents/guardians may fill out a form allowing an older child to sign him/herself in and out of camp each day. Campers will not be allowed to sign themselves in/out without parental permission.

 

Important Notice:  For safety and scheduling reasons, it is the policy of the YMCA NOT TO ALLOW PARENTS TO PICK UP OR DROP OFF CHILDREN WHILE PROGRAMS ARE IN TRANSIT OR ON FIELD TRIPS.  As a courtesy to parents, we will allow children to be picked up and dropped off when they are at local parks/pools, provided that parents arrive BEFORE the program departs, and the child is signed in or out. Your child will not be permitted to participate in the field trip if he/she hasn’t arrived at the designated departure site on time.

 

ILLNESSES

Sick children should be kept at home.  If your child becomes ill while at the program, you will be contacted to pick him or her up immediately. No refunds will be given for day(s) missed due to illness.

 

INJURIES

If your child is injured, the staff will administer basic first aid, and will then take whatever steps are necessary to obtain emergency care, if warranted.  These steps may include, but are not limited to, the following: 
  1. Contact the parents.  If parents are unavailable, someone listed on the Medical Form will be called.
  2. Call the doctor listed on the Medical Form.
  3. Call 911 for emergency assistance.  Staff will accompany any child transported from the program to the hospital.
  4. In the event of a natural disaster, campers will continue to be in the care of the YMCA until arrangements are made to return children to their parent/guardian.
 

WHAT TO BRING

  • LUNCH and DRINK (with something extra for morning snack). Campers may be exposed to peanuts or nuts while at camp.  If your child has a severe allergy, please notify the Camp Director when you register for camp.
  • WATER BOTTLE
  • A BACKPACK
  • SUNSCREEN everyday for everyone!  (Please apply and show your child how to apply).
  • JACKET or SWEATSHIRT
  • WEAR CLOSED-TOED, COMFORTABLE SHOES - Flip-flops, Crocs or platform shoes are not allowed.
  • SWIMSUIT & TOWEL on swim days with a plastic bag for wet things.
  • DO NOT BRING:  money (except when designated), video games, I-pods, headphones, matches, knives, trading cards, expensive clothing and jewelry, or toys from home. The YMCA and its staff are not responsible for lost or stolen items.

Most camps open at 7:30am as a convenience for parent work schedules, but program activities usually begin at 9am unless noted otherwise.

PROGRAM ACTIVITIES

You will receive a calendar/letter on the first day of each program session explaining activities and field trips.  Please be sure to note special activities and off-site times.  Feel free to ask the program staff if you have any questions regarding the schedule.  If you need specific schedule information prior to the first day of camp, it may be available in advance by calling the YMCA. Occasionally, locations, times, trips, etc., may be altered without notice. If a field trip has to be changed due to circumstances beyond our control, a similar trip will be substituted and no refunds will be issued.  Please check the information boards at sign-in for any changes/updates.

 

MEDICATIONS POLICY

If your child is taking any medication, please bring it directly to the Camp Director in its original container with a PRESCRIPTION OR DOCTOR’S NOTE (even if it’s over-the-counter).  You will be asked to complete a “Medication Authorization Release Form” at that time.

 

BEHAVIOR GUIDELINES

All camp staff are trained in positive discipline techniques based on our YMCA character values. In the event of a behavior problem, written reports will be completed and conversations will be held with the parents to try to resolve the issue. The YMCA has developed ground rules to help set limits and provide a basis for cooperation:

A.   Participants must agree to abide by rules and regulations set by the program for the health, safety and welfare of the participants.

B.   All medications must be brought directly to the site staff in accordance with the Medications Policy.

C.   Willful destruction of property is the responsibility of the participant’s parent/guardian.

D.   Participants must remain within established boundaries wherever the program occurs on and off YMCA property.

E.   Participants are not allowed to be in possession of any tobacco, alcohol, illegal drugs, firecrackers, firearms, other weaponry, or explosives.

F.   Continued inappropriate behavior such as threatening, swearing, not following directions, teasing, sexual harassment, intimidation, fights, or improper behavior in vehicles, may result in immediate dismissal from the program with no refund.

G.  Any participant who poses a threat to themselves or to others will be dismissed from the program with no refund.

 

DISMISSAL FROM THE PROGRAM

The Program Director reserves the right to determine what constitutes a violation of these rules and will enforce them as necessary. The YMCA reserves the right to contact a parent/guardian at any time for immediate pick-up from camp if necessary.  We also reserve the right to dismiss any participant from the program, at any time, at the parent/guardian’s expense and liability for violation of any of the above.
